Purpose of the Post

To provide key support to the specialist referral process including administration and reporting as directed by the Specialist Services Manager. To ensure patients that are referred to the service experience a real one-stop-shop service befitting of a high quality specialist care centre.

Organisational Relationships

The post holder will be directly accountable to the Specialist Services Manager for the overall performance of the role.

 

Duties and Responsibilities

Reporting to the Specialist Services Manager, the Specialist Services Coordinator is responsible for:

Administration

  • Processing Private referrals
  • Contacting patients to book or amend appointments.
  • Processing and sending patient confirmation letters and service information.
  • Co-ordinating & processing patient information between the Specialists and referring dentist.
  • Responsible for ensuring letter templates are current & correct in all Practices within their derestriction.
  • Responsible for completing Specialist Weekly Report.
  • Responsible for the training of the Specialist’s on the software systems.
  • Responsible for completing Company/Practice Induction with new Specialist
  • Responsible for collating all documents (excluding contract & references) required from the Specialist in order to commence employment and maintain compliance.
  • Specialist support on surgery days – Non-surgical
  • Overall responsibility to ensure that all stock is ordered and stock levels are maintained for the specialist.

Travel between various locations (expenses paid according to current company policy) may be required around London.

Financial

  • Processing card and cash payments for private work
  • Completing monthly invoices and data collection for Specialist payments.
  • Ensuring financial amounts submitted on lab sheets are correct.
  • Completing monthly expenditure spreadsheet for Specialist Services.

Training

  • To offer support, assistance and training to practice managers & staff in the specialist referral process to ensure a contingency if absent
  • To offer support, assistance and training to new members of the team
  • To undertake further training to enhance knowledge and skills.

General

Undertake any reasonable duties allocated by the Specialist Services Manager & Corporate Services Manager. The job holder will also be involved in working with the team to implement key processes and procedures which will enable improvements to the Service.
